How to Manually and Auto-Create Exchange Orders

AfterShip’s updated method of exchange order creation is easy for tax reporting reconciliation for Shopify merchants, as you can choose to create a full value discount order or full value order without discount. Learn more >

With the latest feature enhancement, a single condition will be applied to all the auto-create exchange order scenarios under a unified framework. This includes Exchange for other items and Replace with the same item orders created via AfterShip Returns, which will now be denoted as "AfterShip Returns exchange order" and follow a standardized full-value exchange order flow.

Full value exchange order



Plans: All paid plans Platforms: Shopify, Commerce API

Exception: This is not applicable on upsell exchange orders processed through Shopify checkout, where Shopify automatically creates the exchange order.

By default, AfterShip Returns will use the Full value discount on flow to create an exchange order on Shopify, whether they are created manually and automatically. This means AfterShip Returns will apply the return item value, pre-discount, and extra credit as a discount to reduce the exchange value (Gross sales). Taxes are then calculated based on the Net Sales plus the Return Item Value (Gross Sales minus pre-discount and extra credit).

AfterShip Returns applies a discount to offset the return item value when creating an exchange order and calculates tax based on the subtotal.

Set up exchange order automation rule



Plans: Premium, Enterprise Platforms: Shopify, SFCC, BigCommerce, WooCommerce

To activate automatic order creation for all exchange scenarios— Replace with same item & Exchange for other items, follow these simple steps.

Go to Returns > Return policy > Automation rules in the AfterShip Returns admin.
Scroll down to Exchange order automation > Auto-create exchange order in store
Enable the automation rule and choose the condition to trigger auto-create exchange order action. The following conditions are supported to trigger the exchange order automation rule.

a. Approved: When the RMA request is approved.
b. In-transit: The shipment is accepted and on the way.
c. Delivered: The exchange item is successfully delivered.
d. Mark as received: When the RMA request is marked as received by the merchant. In order words, the returned item is successfully received by the warehouse or shipping location.

Save changes.

Based on the condition selected, the exchange order will be automatically created once the return status of the original item is updated to that status. For example, if the condition is set Approved and the RMA status updated to Approved, exchange order will be auto-created on eCommerce platform.



Manually create an exchange order



You can manually create return requests on behalf of your customers in situations where your customers may not be able to raise one. From within the AfterShip Returns admin, you can begin the returns process for your customer and submit the desired refund, exchange, return, or store credit outcome for a particular order.
